Test your pdf document
Please make sure that the PDF files that you have saved on your own system uses only ASCII characters: a-zA-Z0-9 in its name, else you may not be able to run PDF compliance test.
Question. I am using Distiller, what should be my settings to create acceptabe PDFs?
Answer. The following joboptions for Acrobat Distiller will be necessary in creating your final manuscript:
Acrobat 4
Acrobat 5
Acrobat 6
Acrobat 7
Acrobat 8
You can install these joboptions to work with Acrobat in one of the two ways described below:
Download and unzip appropriate joboption and save it on your computer, it will have the extension ".joboptions" (note down the location where you saved the file). Launch Distiller and click on "Settings | Add Adobe PDF Settings ...", locate the joboptions file you saved as shown in the screen capture to below.
Alternatively you can save the .joboptions file directly to Distiller settings folder:
..\Adobe\Acrobat 4.0\Distillr\Settings
..\Adobe\Acrobat 5.0\Distillr\Settings
..\Adobe\Acrobat 6.0\Distillr\Settings
..\Adobe\Acrobat 7.0\Distillr\Settings

which ever is appropriate for your system. Note that "..\" represents path to Adobe folder on your installation. The screen capture below was made on a local system using "Winzip "
If the above is not sufficient information, please download detailed instructions for installing these joboptions on MS Windows. Parallel steps should be followed on Macs.
Before converting the file to PDF, select the joboption installed above to get IEEE compliant PDF file
Important : After creating your PDF, make sure to use "File | Save As" rather than "Save" as shown in screen captures
from Acrobat 5 and 6 below. This will ensure that the resulting PDF is more compact and ensure the integrity of the PDF file.

Acrobat 6, 7 and 8 default settings exclude certain fonts (such as Arial, Time New Roman) from being embedded in the PDF documents. This must be corrected by removing all fonts from "Never embed" list. To do this, go to the Distiller properties and click on Font tab and remove all fonts from bottom right box as noted below:
Very Important : For maximum dissemination, we recommend that you save it as PDF 1.4 or 1.5 so that they can be opened by Acrobat Readers 5-9. Further, to upload your file, you must not have any password protection on the file. The "File | Document Security..." should show:

Question. I am using Ghostscript, how do I create acceptabe PDFs?
Answer. If you are using MS-Windows operating system, we strongly recommend using GSview 4.6 , a graphical font end to Ghostscript. It provides an easy interface for setting up the above parameters for ps2pdf.
The first step is to set the media size to Letter. To do this, in the GSview menubar at the top click on "Media" and select Letter as shown below:
Next, click on "File | Convert". In the ensuing window, in Options textbox type in "-dMAxSubsetPct=100", then follow screenshots below:
This option makes sure that the files will be viewable by readers with Acrobat Reader 4, 5 or 6.
These two settings, together with "-dMAxSubsetPct=100" will ensure that all fonts are embedded as required.
If you prefer command line access, you may use ps2pdf that comes bundled with ghostscript. Uisng ps2pdf, you may create compliant PDF using the following commands:
ps2pdf -dCompatibilityLevel=1.4 -dMAxSubsetPct=100 -dSubsetFonts=true -dEmbedAllFonts=true -dPDFSETTINGS=/printer sample.ps
ps2pdf -dCompatibilityLevel=1.4 -dMAxSubsetPct=100 -dSubsetFonts=true -dEmbedAllFonts=true -dPDFSETTINGS=/printer a4sample.ps

Question. My PDF file is too big to upload. How can I reduce its size?
Answer. If your PDF file size is too large, please try the following to reduce its size
After creating the PDF, open it with your PDF reader and save it using "File | Save As". If you have Acrobat 6, you can also use the option "File | Reduce File Size ..." Please make sure to use Acrobat 5 (PDF 1.4) for PDF compatibility.
Do not use color unless it is necessary. For example, use different line types rather than colors in a plot.
For plots, use vector or metafile graphics (e.g. eps, ps, wmf, etc.) rather than bitmapped graphicss (e.g. tif, bmp, gif, jpg, etc.). The former is not only compact in size, but also scalable without losing resolution. If the figures are generated using MATLAB, use the Edit-Copy Figure method with the Copy Options set to Preserve information (Metafile if possible). Do not use screen capture or set the Copy Options to Bitmap.
For bitmap images such as photographs, generate the original file in the lowest resolution and color depth that will preserve the information and quality. Note that many color scanners are capable of very high resolution and color depth, and some of them are default to the highest settings. If the original image resolution cannot be reduced, e.g. due to the lack of a graphical editing software, it can be reduced when converting to PDF file using Acrobat Distiller by proper settings in the Job Options menu.
Limit the number of curves in a plot to the minimum. For example, for Monte Carlo dispersion results, do not use the Carpet plot (overlay hundreds of lines in the plot), rather use the min-mean-max plot.
Since all fonts must be embedded, keep the number of font types used in the manuscript to the minimum.

Question. PDFMaker, PDFWriter, Distiller, Ghostscript - what should I use to create PDF?
Answer. All options above will produce PDFs that comply with requirements. Specific procedure as described in appropriate Sections MS-Word Support and LaTeX Support . The procedure to create must be followed precisely as described, else your file may not pass the upload test and hence may be excluded from the conference proceedings.
Note that in addition to above, there are several other products (free/commercial) in the market that can produce compatible PDF files.
